Privacy and my information

LMS processing information · version October 28, 2026

What the LMS records and why

Your first and last name, email, self-declared role and, for pharmacists, your OPQ member number identify your account and support certificates; pharmacy is optional. Representative codes may link your account to representative follow-up. The LMS stores watched video intervals, progress, exam attempts and answers, evaluations and certificates to deliver training, apply completion rules and maintain training records. The OPQ number is self-reported; entering it does not verify your licence status.

Authorized administrators can access records and reports. Representatives may receive account and sales-follow-up information through the CRM integration; detailed exam and evaluation answers are not sent to Cloudflare. Do not enter patient information in comments.

If you express interest in Officine IRMA, we store your name, email and consent date to provide information about the activity. Authorized administrators can view these requests.

The pharmacist owner manages access to their pharmacy for staff pharmacists, assistants and other employees. The owner declares that they are a pharmacist owner; that declaration and its date are retained, without independent verification of legal ownership. Staff accept an invitation specifying their role using their personal account. The pharmacist owner sees your name, email, pharmacy role and the number of courses completed since joining. They do not receive your detailed answers, licence number or personal certificates. The LMS retains the offered role, invitation expiry and use, and membership history. Leaving or being removed from a pharmacy preserves your account and learning records.

For OPQ activities, your chosen completion path, declared professional role and, where applicable, eligibility declaration are retained with the evaluation. Pharmacy assistants and technicians can complete courses without receiving new certificates; previously issued certificates remain accessible. Professional details remain self-reported and do not replace verification of your right to practise.

Video, hosting and security

Cloudflare Stream delivers signed video playback and receives the IP address and technical request information. LMS hosting and video delivery may involve processing outside Québec. The LMS uses HTTPS, sessions and role-based access. The session cookie is needed to sign in and expires after seven days. A separate cookie supports administrator preview.

Automated decisions and human review

The LMS automatically determines exam and certificate eligibility from current-version video coverage, exam score (at least 70% for assessed courses), submitted evaluation, access rights and accreditation dates. OPQ courses allow two attempts total. Playback controls cannot prove human attention. You can request the information used, seek correction and present observations to staff using the form below.

When a pharmacist registers, newly declares their profession or changes their number, IRMA automatically compares the declared number with a local copy of the public OPQ directory, refreshed weekly. Without a match, the request cannot be saved. This comparison does not confirm identity or current right to practise. To correct an error or request human review, contact [email protected].

Retention

Authorized IRMA staff grant access to service documents. Pharmacy access applies to current and future members until they leave or the grant is revoked or expires. IRMA records authorized opens and downloads for support and service usage reporting; these events do not prove that a document was read. Your export includes your own activity, excluding internal purchase notes and other members’ activity.

OPQ accreditation files and evaluation summaries must be retained for at least one year after expiry; certificates or participation registers for at least three years. For activity 260202 these dates are April 24, 2028 and April 24, 2030. Incident records are kept at least five years after discovery. Protected regulatory backups are not automatically purged. Deletion requests require review of remaining purposes, obligations and legal holds before destruction.

Contact and requests

You may also ask to withdraw consent where applicable; staff will explain the consequences and any continuing retention obligations. Access and correction requests require a response within 30 days. The LMS shows the review date and response in your account. Staff must verify identity, apply legal exceptions and explain any refusal. The processing notice above and the complete retention schedule still require officer approval.
